Bath & Floor Stiles is seeking a highly organized and responsive Remote Customer Service & Administrative Coordinator to serve as the first point of contact for prospective and existing customers. This person will manage scheduling and rescheduling, answer inbound calls, route customer inquiries, maintain accurate CRM records, assist with dispatch, and provide dependable day-to-day administrative support.
This role is essential to ensuring that customers receive prompt attention, the sales team's schedule remains organized, and no lead or follow-up falls through the cracks. The ideal candidate communicates professionally, works independently, and understands the importance of quick response times and accurate information.
Key Responsibilities
- Answer inbound calls and respond promptly to customer inquiries received by phone, email, and the company website.
- Provide a friendly, professional, and helpful first impression to prospective and existing customers.
- Schedule, confirm, reschedule, and coordinate in-home and showroom appointments.
- Manage the sales team's calendars and resolve scheduling conflicts.
- Assist with dispatch and communicate scheduling information to the appropriate team members.
- Send customers appointment confirmations, reminders, and schedule updates.
- Enter new customers and leads into the company CRM accurately and promptly.
- Maintain complete and current CRM records, including contact information, project notes, appointment details, and lead statuses.
- Follow up with customers regarding appointments and general questions.
- Route sales, design, project, and construction-related questions to the appropriate person.
- Coordinate organized handoffs between customers, the sales team, and the project management team.
- Maintain administrative records and assist with recurring office coordination tasks.
- Help ensure that inquiries, appointments, and follow-ups are completed on time.
- Identify missing or inaccurate information and take initiative to correct it.
Qualifications
- At least 2 years of experience in customer service, reception, scheduling, dispatch, or administrative coordination.
- Excellent telephone etiquette and professional written and verbal communication skills in English.
- Strong organization, time-management, and attention-to-detail skills.
- Ability to manage multiple calendars, customer inquiries, and competing priorities.
- Comfortable learning and consistently using CRM, dispatch, and scheduling software. (preferred)
- Familiarity with HighLevel, Asana, JobTread, Google Workspace, Google Calendar, or similar systems is preferred.
- Reliable high-speed internet, a quiet professional workspace, and a suitable computer and headset.
- Ability to work consistently during U.S. Eastern Time business hours.
- Self-directed, dependable, and able to manage daily responsibilities without continuous supervision.
- Experience supporting a construction, remodeling, home-service, or appointment-based company is preferred.
- Experience responding to inbound leads and coordinating timely follow-up is a plus.
- Bilingual English and Spanish skills are a plus.
